Can I Participate Virtually?

Absolutely! We understand that physical (in-person) participation may not be feasible for everyone. Thus, ICER 2026 offers a way to participate virtually, both for presenters and for all other participants.

ACM ICER 2026 as a hybrid conference (not just an in-person conference with an online “add-on”), will aim at bringing together in-person and virtual attendees, creating a fully connected and inclusive conference environment for everyone.

What are the Benefits of Physical Participation?

Both virtual and physical participants can participate in the full technical program. Physical participants also get to attend the Reception and the Conference Dinner, as well as the lunches and coffee breaks that are included in the physical registration. They of course also benefit from face-to-face interaction with other physical participants beyond the scheduled program (e.g., while going for an evening around grounds). Finally, participating in person avoids “Zoom fatigue” and has the benefit that participants are not torn between participating in the conference and other commitments at their home location.

Nevertheless, all sessions of ICER26 will be streamed live, this includes lightning talks. For paper sessions, the roundtable discussions will happen both online and in-person, with everyone being given equal opportunity to ask questions to the presenters afterwards. A hybrid lounge for coffee breaks will be created at the UKK venue, where in-person participants can sit down, enjoy some coffee and “fika” (Swedish treats!), and - most importantly - engage with online participants.

What Virtual Platform will we use?

We will use Discord, with Zoom as a backup, so that virtual and physical participants can be part of one whole ICER community.

What will be the Approximate Schedule?

We plan for ICER 2026 to be a synchronous hybrid experience; that is, each activity (e.g., a paper talk) will take place at one given point in time, and physical and virtual participants can join in and interact at that time. Those times will be aligned with the local times at the conference venue.

We currently foresee three main conference days that might start around 8:30am Central European Summer Time (CEST), and go until about 6pm CEST. Finally, when scheduling the paper presentations, we will do our best to accommodate presenters who participate virtually so they can present at a reasonable time in their time zone, but we cannot guarantee it

What are the Registration Options and Fees

Register by Friday, June 12, 2026 to benefit from the early registration rates.

Registration closes July 17, 2026. All registrations after that time may not receive Conference Dinner tickets and are subject to space constraints.

OBS! All prices are stated in Swedish Krona (SEK), exclusive of 25% VAT. Exchange rate is about USD 1 : SEK 10, but it does vary. For current exchange rates, please refer to, for example, www.oanda.com.

Payment Information

Information for participants in Sweden

Participants based in Sweden may choose to pay by credit card or invoice. Invoices are issued as electronic invoices (e-faktura) when possible, or otherwise as PDF attachments via email.

Information for participants outside Sweden

All payments are processed in SEK (Swedish Krona). Participants joining from abroad are welcome to pay by credit card or by bank transfer (invoice). Bank transfer is available until 30 June 2026.

Invoice for bank transfer

Upon selecting this payment method, an invoice with bank transfer details (such as bank account number, IBAN, etc.) will be sent. The invoice is generated manually and is typically sent within a few days of registration. The participant/payee is responsible for any bank charges or fees related to the payment.

Credit card payment

Card payments are processed via Nets, which supports payments with Visa and Mastercard. For your security, our payment system is integrated with 3D Secure to protect online transactions. Your card must be enrolled in Verified by Visa or Mastercard SecureCode. If you’re unsure whether your card is connected, please contact your bank for confirmation and guidance on how to enrol.

Cancellation and Refund Policy

Given that ICER 2026 is a hybrid conference, you will need to decide whether you want to participate virtually or physically. Given the budgetary implications and the constraints we are operating under, you have to decide this at the time you register.

Cancellations should be made in writing to the conference secretariat. A cancellation fee of SEK 750 will be charged for all cancellations.

  • For cancellations received no later than 10 July 2026, the full registration fee will be refunded (or waived) minus the cancellation fee.

  • Regrettably, for cancellations made from 11 July 2026 onwards, no refund (or waiver) of the registration fee will be granted, and the full fee must be paid.

  • No refunds will be made for cancellation of individual meals or social events.

  • If you are unable to attend, you may transfer your registration to a colleague or substitute participant. Please contact the conference secretariat as soon as possible to arrange the change.

The conference committee recognizes that sometimes last-minute cancellations can’t be avoided due to weather, travel disruptions, and/or health issues. However, the conference incurs expenses for which it is liable based on registration counts. In-person registrants are strongly advised to purchase travel insurance to cover their non-refundable expenses. Note that modifications (e.g., switching from physical to hybrid or vice versa) and cancellations are subject to modification/cancellation fees, because any modification or cancellation generates costs we cannot recover. Also, switching after the early registration deadline causes the new fee to be computed based on the corresponding category.

Can I Modify my Registration?

However, you can modify the registration by contacting until the modification/cancellation deadline (July 10 at 23:59pm CEST).

Why are the Registration Fees so high?

We are doing our best to keep fees low while providing the unique experience expected of an ICER conference. As the ICER conference format requires a large space for island group discussions for a large cohort during the main event (we are expecting at least 120 in-person participants), it needed to be hosted at a congress venue that could offer such facilities, which costs money to rent. As all conferences are now facing, costs for food have substantially increased and those increases are also reflected in the registration pricing. The conference committee considered cost saving measures, such as forgoing the conference dinner and/or the reception, however, in cooperation with the ICER Steering Committee, we chose to keep these elements as part of the conference.

The costs of virtual participation in a hybrid conference are higher than the costs of virtual participation in a purely virtual conference. And the costs of physical participation in a hybrid conference are higher than the costs of physical participation in a purely physical conference. This is because the fees for virtual and physical participants need to cover the extra cost of bridging the physical and virtual participation experience.
